Enterprise Document Exchange (eDex)

Centralized document processing with Kofax Ascent Capture provides many benefits such as utilizing server hardware for CPU-intensive processing, reduced administration costs, and advanced reporting and management controls. Companies that generate documents at many different remote locations can fully experience the cost effectiveness and timesaving ability of Kofax Ascent Capture with eDex software. Dataimage’s Enterprise Document Exchange software allows customers to easily and cost-effectively combine the benefits of distributed document capture with the benefits of centralized document processing. Experience the added ability of near real-time processing of documents from multiple facilities or locations and eliminate the cost and time-delay in collecting the physical documents and transporting them to a centralized scanning facility.

How eDex Works
eDex works in conjunction with the email feature of most existing multifunction peripheral (MFP) devices. Modern MFP devices can be configured to email scanned documents to a specific email address. eDex uses Microsoft Window’s Messaging Application Programming Interface (MAPI) to log into a specified email mailbox and detect image files attached to the email messages. eDex then utilizes the Kofax Ascent Capture Document Access API to import the image files into an Ascent Capture batch. Once the image files are imported into an Ascent Capture batch, the powerful functionality of Ascent Capture can be used to centrally process the documents through the Ascent Capture workflow.

eDex Administration
eDex lets the administrator import images into the Kofax Ascent Capture Batch Class and Documents Class of their choice. Customizable logging can provide administrators with details on each processed message. The size of batches can be controlled by changing the frequency that eDex checks for new images, giving administrators the ability to provide near real-time processing of smaller batches or bulk processing of larger batches.

    Advantages

  • Leverage existing MFP hardware at distributed locations.
  • Zero-footprint at distributed capture sites. Distributed capture is accomplished with a single software install at the central site.
  • Leverage existing investments in Kofax Ascent Capture customization technologies such as Validation Scripting, CustoModules, and Release Scripts.
  • Provide centralized control over critical processing steps such as Validation, Verification, and Release

    Upcoming Features

  • Map email attributes such as sender, subject, and sent date to Ascent Capture document-level fields.
  • Configurable naming conventions for Ascent Capture batches.
  • Monitor and process multiple email accounts.
  • Management console for viewing eDex log and processing information when eDex runs as a Windows Service.
  • Advanced statistics and reports - identify high volume senders and document types.
  • Support distributed capture at sites without an existing MFP through Kofax’s Document Scan Server.

System Requirements
eDex currently supports MAPI providers such as Microsoft Outlook/Microsoft Exchange. eDex requires Kofax Ascent Capture version 7.0 or higher and the Microsoft .NET Framework 2.0.
